Privacy Policy
This policy explains how Game Manager Pro collects, uses, and protects coach, team, and scheduling information for the platform.
Information coaches provide
We collect the information you submit when you create an account, build a team profile, and use scheduling tools.
- Coach name, email, and phone number
- Team name, sport, age group, and competition level
- Field name, address, city, state, and zip code
- Availability dates, status, and travel preferences
- Challenge and scheduled game details
Team and scheduling information
Team scheduling activity and challenge history are used to power the coach dashboard and help teams find opponents. Field details are included when a game is scheduled so the selected matchup information remains consistent.
Billing information handled by Stripe
Payment information is processed through Stripe. Game Manager Pro does not store raw payment details directly on the platform.
Notifications and contact
We use email and optional SMS to send transactional scheduling notifications, such as challenge updates, tournament updates, accepted or declined requests, and game messages. Ongoing SMS notifications are only used if you opt in.
Phone verification codes are separate one-time security texts requested by you during signup or account verification. Standard message and data rates may apply. Reply HELP for help or STOP to opt out of ongoing SMS notifications.
How information is used
Information is used to operate the platform, support scheduling workflows, send notifications, and provide coach support. It is not used for marketing or sold to third parties.
AI-assisted tournament explanations
Tournament Directors may request optional AI-assisted explanations through AI Schedule Review or Tournament Operations Copilot. When requested, Game Manager Pro sends minimized topic-specific tournament facts, such as schedule, field, reservation, bracket, registration, insurance-status, payment-readiness, officials, score, or publishing summaries, to an AI service provider acting as a service provider or processor so the service can produce an advisory explanation.
AI inputs are designed to exclude contact details, payment identifiers, insurance documents, raw provider identifiers, private notes, payment credentials, notification bodies, raw prompts, raw provider responses, and raw database identifiers. Validated sanitized AI output and safe usage metadata may be retained for a limited period, while raw prompts and raw provider responses are not stored under the implemented design. AI output is advisory and does not create games, reserve fields, publish tournaments, contact participants, or replace deterministic Game Manager Pro checks. Data sharing and retention
We do not sell personal data. We may share information with service providers required to run the platform, such as hosting, email, SMS, maps, and payment processors. Mobile information and opt-in consent are not sold or shared for third-party marketing. Records may be retained as required for dispute resolution, fraud prevention, or legal compliance.
Account deletion
Coaches can request account deletion through support. Some records may remain for billing, legal, or compliance reasons even after a deletion request is processed.
